Tip of the Week: Applying Discounts & Write-Offs

Within Bill4Time there are many different ways to discount and write off balances. If you want to save entries and not charge for them you can uncheck your “Billable” box on your time entries. This allows you to save the entries to show the client the amount of hours worked at either $0.00 or No Charge.

On your Invoice you have two different options for writing down a balance. If you are discounting services you can use the Invoice Discount feature which will allow you to enter in either a Percentage or Flat Fee amount to deduct from your invoice total.

If you are writing up or down a balance you can also do this on the invoice by adjusting the total of labor and expenses. This can be pulled on the Invoice Write Up/Down report to see the original amounts and amounts adjusted.discount2

Tip of the Week: How to Set Due Dates

Within the program you can set Due Dates to your Projects. First, go to Settings – System tab and click the Edit Settings button. From there, check the box next to “Track Project Due Dates” and click Save Changes.

On the Project Details page you can setup Due Dates. Then on your Dashboard, click the gear icon next to Add Expense. Scroll to the bottom left and pull down the drop down to choose the “Projects Due” widget and click Add. Then scroll up to finish editing. This will then list the projects by due date showing oldest to newest.

Tip of the Week: Tracking Internal Time

Internal Time allows you to track non client and non-billable time such as training, vacation, etc. To turn this on in your account you can go to Settings – System tab and click the Edit Settings button. From there, top left check the box next to “Track Internal (Non-Client) Time” and click Save Changes.

internal2On the Dashboard, Time/Expenses, and both Mobile & Widget applications, the users will be able to add Internal Time. You can customize your Internal Activity Types to suit your company needs.

To pull the data of the Internal entries you can run the Internal Time report and all Summary reports to include both billable and non-billable time.

Just Released – New Monthly Productivity Report

time-is-moneyWith the new Monthly Productivity report you will be able to show billable and non-billable hours. Plus the proportion of billable hours grouped and totaled by month and user.

When running this report you can choose your starting and ending month and year. You can also choose which user(s) or client(s) you want to report on or exclude these certain users or clients from showing on the report.

Once you click to run the report, you will see each month grouped separately and each user listed below with the total billable hours, non-billable hours and percentage of billable hours per month. You can then switch from Hours to Amounts to see the total billable amounts, non-billable amounts, and percentage of billable amounts in the time frame you chose.

This report is perfect for getting a glimpse of the hours or totals worked per user and what percentage of those hours are billable in the system on a monthly basis.

Tips & Tricks: New Finalize All/Unfinalize Feature

Now, the invoicing batch process has never been easier! When going through Invoicing, you have the ability to create your monthly batches in one clean sweep. This process gives a much easier way of connecting all invoices in a particular time period and having them organized in one place makes your invoice management less congested. This process couldn’t get any easier with the new Finalize and Unfinalize All functionality.

If you’ve gone through the process of editing and making the changes to your batch, but forgot to finalize your invoices, then this feature will be great for you. Once you are on the batch page you will be able to choose all or multiple invoices to finalize or unfinalize at once.

This functionality will give you back that much needed time to focus on what is important…your business!

Tip of the Week: Organization

In Bill4Time you are able to organize your Clients, Projects, Time, Expenses, and more with the customizable Types. For Admins, you can setup these Types under your Settings – Custom Lists tab.

There are multiple Types to choose from including Billable Activity Types and Expense Types which will categorize your Time and Expenses and allow you to run reports grouping by these types to see productivity per task.

Other options like Client and Project Types allow you to set these types of categories which can be sorted on both the Management pages and reports to check revenue per type.
