With 2016 coming to a close, we can reflect on the past year and look forward to the future!

Throughout this year, we have a released many updates including a new design!

Here is a list of features released in 2016 just in case you missed them!

Monthly Productivity Report – The Monthly Productivity report will show billable and non-billable hours and amounts based on a per user per month format. https://www.bill4time.com/blog/just-released-new-monthly-productivity-report/

Finalize/Unfinalize All Invoices – When invoice batching you have the ability to view, print, and create a pdf of all the invoices in your batch. Bill4Time Desktop & Mobile Updates – We have released many updates to the Desktop & Mobile applications over the past year. Bill4Time Client Portal Update!

As we come close to the holiday, we have some gifts of our own to celebrate! There are two new Client Portal updates available now in Bill4Time!

Invoice Email link expiration: You can now choose a specific time frame of when your invoice email links expire. Choose between 30 days, 60 days, 90 days, 6 months, 1 year, or Never. You’ll notice our recommendation for your links would be up to 60 days. The main advantage of a lower time frame for expiration is for security for both your company and your client.

To update this, top right click your name and select Settings. From there, go to your Client Portal tab and click to manage your client portal. Once you sign in, scroll down to your Settings to choose your expiration timeline.

Project Email: By default, when emailing your invoices the system pulls the email address as entered in the client’s details.  However, you can now set an email address at the project level, which will override the client’s email. This comes in handy if your invoices have a different recipient on a per-project basis.

To update this, click Projects in your blue menu bar and click on a specific project. From there, click Edit and you will see the “Email” field to the left. Fill this in and click Save. Now when you go to email your invoice it will pull this address by default instead.

New Invoice Line Item Feature!

When creating invoices you now have the ability to view and choose the entries that show on the invoice prior to creating it. To go through this process, follow the steps below:

  1. Click Invoicing from your blue menu bar
  2. Click the Create Invoice button
  3. Check the box next to a specific client and a plus icon next to their projects will appear
  4. Click the plus icon and the Labor and Expense items will drop down showing you the available entries
  5. You can check or uncheck these boxes to exclude any entries you may not wish to bill at this time
  6. Once finished, scroll up and click Save to create the invoice.

What this will do is exclude the entries from the invoice leaving them set to unbilled allowing you to invoice them again at a later time. You can of course edit your batch to bring these entries back into your current invoices if needed. Note* This will not change the status of the entries to “non-billable” or “exclude from invoice”

Bill4Time’s New Design: List of updated features

Since the release of the Bill4Time New Design in May of this year, we have received amazing feedback. We put a sincere effort into making the new version as seamless of a change as possible. With that said, you may have missed a few new features we’ve released over the last few months. See below for a complete list of features and updates:

  • In your menu bar at the top you will see a plus icon which you can pull down to create a new Client, Project, Time Entry, Expense, Internal Time, Invoice, or Payment from any page you are on.

Dashboard

  • Design update to remove all Adobe based widgets which helps with Mac products.
  • Time Entry Grid allows for ABA Task Codes

Client & Project Management

  • Add Time, Add Expense, and Create Invoice buttons have been added to the top of any Client and Project page.
  • Print and PDF buttons have been added to the invoices shown through Accounting. You can also click on an invoice to be sent to the Invoice Details page.
  • A Billed, Unbilled, and Total Balance section has been added to the Accounting overview.

Invoicing

  • Under Find Invoice you now have the ability to filter by Client and Project.
  • On the Invoice Details page, if the invoice is in a batch it will show the Batch ID which you can click to be sent to the batch details page.
  • On the Invoice Details page, if you click Payments you now have the ability to apply payments that may have already been saved as well as receive new payments.
  • Previous and Next buttons have been added to the Invoice Details page for invoices in a batch.

We encourage to continue submitting your feedback with suggestions for improvements! At the top right, click the question mark to access the Bill4Time Support Center, where you can submit a support request and send us your feedback.

Check out Bill4Time’s New Design!

Bill4Time is excited to reveal our updated look and new design!  In the top right you will see the “Preview New Bill4Time” link.  This will allow you to get a first look at the new design which includes:

  • An updated modern visual design
  • A consistent look and feel across the system
  • Best of all, full use of your display size!

This new version of Bill4Time is just the first of many exciting new updates and features that will be available in the coming months. We’ve been working hard to make the new version faster, easier to navigate, and more user-friendly. It has been crafted to reflect the needs of you, our current users, but also builds upon technology capable of addressing your future needs and growing with your business.

We encourage you to sign in and go through your normal workflows, as we put a sincere effort into making the new version as seamless a change as possible. The new website is full of helpful resources that are located at the top of every page. At the bottom of any page in the new version, you will have an option to switch back to the Legacy version of Bill4Time during this preview period.

Tip of the Month: IOLTA Trust Functions

In Bill4Time Legal you have the ability to setup Trust Accounts to track retainers, disbursements, transfers and more.

Within Trust you can setup different Bank Accounts and track retainers on separate Projects. With both Deposits and Disbursements you are now able to set dates for when a check clears to track on both client Trust and within the Trust Account report. You can also attach images for future reference to pull on the report as well.

If a check was voided you are able to track this in the deposits/disbursements with a date and description. When running your Trust Account report you will be able to show check numbers, descriptions, and check statuses for each transaction.
